Edit user visibility

At absentify, we understand that privacy is important to our users. That's why we have built-in privacy options for absence reasons, making it easier to manage your staff's leave while maintaining privacy.

Our permission settings allow you to restrict which absences are visible from one user to another. This is beneficial if you'd rather certain absence reasons only be visible to members of management.

Keep reading to learn more about how you can set-up the available permissions in absentify to make sure the reason for an employee's absence stays private.

General privacy settings



You'll have to start by setting up your privacy settings to your liking. First, navigate to Settings > General > Privacy.



After scrolling down to the bottom of the page, you'll notice three toggle options to change the privacy permissions.



Below is an outline of how these privacy settings can change the visibility from one user to another. Please note that these permissions do not affect the administrator, as they'll always have a visual overview of all user's absences within their company no matter what.

Other departments



Toggle flipped on:

With this toggle activated, all users - regardless which department they're in - can see all other employees within the company from the Overview page.

Toggle flipped off:

Normal users: can only see other users who are in the same department(s).
Approvers: can only see other users who are in the same department(s).
Managers: can only see other users who are in the same department(s).


Calendar view



Toggle flipped on:

With this toggle activated, only users within the same department can view each others calendars. Keep in mind that this doesn't change the visibility from the Overview page for the users.

Toggle flipped off:

Please note that the permissions outlined below only apply across departments when the Other departments toggle has been activated.
Normal users: do not have permission to view other users' calendars except their own.
Approvers: have permission to view another user's calendar as well as their own.
Managers: have permission to view another user's calendar as well as their own.


Show absences in the past



Toggle flipped on:

With this toggle activated, all users can see other user's past absences.

Toggle flipped off:

Please note that the permissions outlined below only apply across departments when the Other departments toggle has been activated.
Normal users: do not have permission to view another user's past absences except their own.
Approvers: have permission to view another user's past absences as well as their own.
Managers: have permission to view another user's past absences as well as their own.


Privacy settings per leave type



Once you've set the general privacy settings to your liking, you can now change the privacy settings per leave type.

This is useful if you'd rather some leave types be visible while others remain private. For example, you could set vacation leave to be visible to all users across the board, but sick leave can still be kept private so that only approvers and managers can see if someone has taken a sick day. All other users will only see that the user is absent when they've requested this leave type.

Start by navigating to Settings > Leave types.



Select the leave type that you'd like to edit and scroll down to Privacy.



From here you'll have the option to change the visibility. Flip the toggle on to make the absence type private to all users except for approvers, managers and of course the admin. Deactivating the toggle switch will allow all users to see that their co-worker has booked this absence.

Below is an example of what sick leave looks like to another regular user when the toggle is flipped on.



Now you can customize all your leave types to fit your company's needs!
