Change an employee's name

Not sure how to change a user's name in absentify? We're here to help answer your questions - Keep reading to learn more!

Good to know before you begin:

Since absentify is integrated within the Microsoft environment, as soon as an employee logs into absentify for the first time their data will synchronize with their Microsoft account. This means that in order to change a name, it has to be done from the Microsoft account.

To learn more about the many other advantages of absentify being integrated with Microsoft in regards to signing in, read our Helpdesk article Advantages of mutual sign-on with Microsoft.

Edit a user's display name

Depending on the permission assigned to your users within your Microsoft company account, your users may not be able to change their name themselves. If this is the case, simply follow the following steps to change one of your employee's names.

To learn how to assign these permissions, scroll down to Assigning other users the permission to edit names.

Log- in to the Microsoft admin portal.

After signing in, go to Users > Aktive users.

Select the employee whom you'd like to change their name and from the window on the right hand side, navigate to "Contact Information" > "Manage contact information".

Here it is important that while changing their name, you also change their "Display name". If you only change the first and last name, their name will still show up as what it was previously.

Once you're satisfied with the changes made, you'll see a confirmation at the top of the window after clicking "Save changes". Once this confirmation appears, it's safe to close the window.

In the photo below, you can see that the old name is still showing up as their display name. Before the user will be able to see the updated changes, it's important that the user first logs in and out of their Microsoft account.

Now you can see in both photos below, that the user's name now appears as what the admin modified it to, in both Microsoft and absentify.

Assigning other users the permission to edit names

A user can also change their own name as well as any other employees' names within your Microsoft organization from their own account. This is a great tool if other employees within your company - such as those within the personnel department - should have the authorization to change users' names.

But first you'll need to give the permissions. This is done in just a few simple steps!

First, log- in to the Microsoft admin portal.

From there, navigate to "Users" > "Aktive users".

Select the user whom you'd like to give them the permission to edit their name and scroll down to "Manage rolls".

From there, select both "Admin center access" and "User administration". Please note that this will additionally give the user the following permissions:

Reset user passwords
Create and manage users and groups (including filters)
Manage service request
Monitor service health

Don't forget to click "Save changes"!

Now the user will be able to log into the User admin portal and need only to follow the steps outlined above to edit a users name.

As a private user:

In the event that you have a private Microsoft account that isn't associated with a business, follow the steps below to complete the name change.

To edit your name, you'll first need to change your contact details from your Microsoft account.

First, log into your Microsoft account. After signing in, click "Your info" from the selection in the top rail.

You'll be automatically redirected, where you can click "Edit name" from the bottom right side.

Make any preferred changes, enter the captcha and click "Save".

Once you log out and log back into your Microsoft account, you'll see the updated name.
