Setting up Microsoft Integrations

At absentify, we know how important it is to be able to set up your account to fit your exact needs, and since absentify is integrated with the Microsoft environment, we've created a whole set of synchronizations so that absentify will perform exactly the way you want within your company!

With our selection of Microsoft Integrations, you can configure your account to complete a variety of functions including; automate user upload, synchronize managers, automatic outlook configuration and Teams notifications. Not only that but we're thinking of new ones everyday to make sure your staff scheduling always runs smoothly.

Keep reading to learn more about the benefit of these functions.

Please be advised that the rights for these settings are only available for the Microsoft tenant administrator.



Microsoft Integration



To access the integrated features with Microsoft, start by going to Settings > Microsoft.



This article will outline the following features:

Outlook calendar synchronization
Outlook out of office reply
Manager synchronization
[Teams and Entra ID (Azure Active Directory) Groups synchronization]()

Outlook calendar synchronization



By keeping this toggle deactivated, users will receive an email whenever an absence is created, asking if the would like to add it to their Outlook Calendar.

For example, Diego has received the following email and by clicking Add to calendar it will be added to his Outlook calendar.





However, if you decide to activate this function, the user will not receive a notification to manually add the request to their Outlook calendar, but rather any absences will automatically sync with their Outlook calendar, making it easy for your staff to track their leave across all platforms!



Outlook out of office reply (Beta)



With this toggle activated, you allow your users the option to set up an out-of-office message template for each leave type, which will synchronize their scheduled absences in absentify with their automatic out-of-office replies in Outlook.

If you decide to deactivate this toggle switch, your users will have to manually set up their out-of-office reply through Outlook every time they're out of the office.

Manager synchronization



Activate this toggle function to synchronize a user's approver with their designated manager directly from their Microsoft profile.

If you'd first like to update the user's manager in Microsoft, follow the steps outlined below, but if you've already done this you can skip right to the next section.

Changing the user's manager in Microsoft


First log in to your Microsoft Admin Portal account.

From there, select Users > Active users from the left side rail.



Select the user whom you'd like to change the manager of and click Edit manager. In this case, we're going to change Diego's manager.



Delete the old manager and select the desired new one from the roster. Here we've deleted Alex and added Juliette as Diego's manager.

Don't forget to click Save at the bottom of the page to save your changes!



You should see a confirmation pop up that it has been saved.



Synchronize the approver with the Microsoft manager


Now that you've successfully updated the user's manager, you can synchronize that same manager to be their approver in absentify!

To see the changes appear in absentify, you'll need to log out and back in again for the app to update.



After logging back in, go to Settings > Users > Edit.



Select Approver from the right hand side and then you'll see the option to synchronize the user's approver with the manager from their Microsoft profile. Select this and click Save.



Please note than this option is only available with the "More than one Approver" upgrade.





Teams and Entra ID (Azure Active Directory) Groups synchronization



This feature is great if you don't want to have to deal with the hassle of adding each user individually into absentify. Perfect for larger companies who already have their users uploaded in Microsoft and organized per department so that you don't have to do it twice!

By enabling this feature, absentify will automatically populate your upload Excel file with users from Teams and Active Directory groups.

Add users


After flipping the toggle switch "On", go to Settings > Users > Import users.



You can now select one of the Teams groups within your company which you'd like to import. By selecting this group, the staff members within it will be automatically added the the Excel document after downloading it.



Click Download, once you've selected all desired groups. Remember, that the users within these groups will pre-fill the user-upload Excel values, but you can easily delete or add users as you wish.



From here you need only to follow the same steps as outlined in our support article Add users.

Coming soon: an update will be available that not only enables bulk upload with pre-filled user values, but also supports automatic synchronization of users within the same department.
