Troubleshooting for Administrators



Situation



Administrators have the option to disable the automatic sending of invitation emails when creating new employee accounts in absentify. This is useful if the employee's account is not yet fully set up.

Administrators and employees often ask how access to absentify can be granted later if no invitation email was sent.

Solution



Since there is currently no option to manually resend the invitation email from the absentify system, there are three main methods to grant an employee access:

1. Manual invitation by the administrator or employee

- The administrator or another employee can send an email to the concerned employee, asking them to install the absentify app in Microsoft Teams or to click on absentify.
- Once the employee logs in and their email address matches an existing invitation, they will gain access to the relevant workspace.

2. Automatic installation by the Teams administrator

- The Teams administrator can pre-install absentify for the concerned employee or specific groups in Microsoft Teams and pin it to the left menu.
- The next time the employee starts Microsoft Teams, they will see a notification that a new app has been installed.

3. Deactivate and reactivate the user


You can also try to resend the same invitation email by deactivating and then reactivating the user.

Next to the concerned user, click on the pencil icon for Edit and scroll down to "Inactive User". Flip the toggle back to Off to deactivate the user and click Save to save your changes. Once the user is inactive, flip the toggle On again to reactivate them.

The user should receive the invitation email and can follow the login steps described above.

What happens if the email address cannot be matched?



If an employee logs in and their email address cannot be matched to an existing invitation, they have two options:

- Create a new workspace in absentify, or
- Request that administrators invite them (this is only possible if their email domain can be matched to an existing workspace).
