This quickstart guide will help you successfully complete the initial setup. By the end, you'll have a good understanding of the basics and be ready to start tracking your team's absences.

By default, this is the usual way to add individuals from your company to absentify.

The menu bar in the top left corner can be used to access the "Settings" option. The sidebar will show some settings options. Click on the 2nd field "Users" and you have all registered users from your company at a glance. Now scroll to the end of all users until the field "Invite a new user" appears.

Now just enter all data of the user you want to register and save it. This completes the registration successfully. absentify is developed for Microsoft 365, all users you invite need a Microsoft account. Therefore, note that the email address corresponds to the Microsoft account. Create an Account

In order to use absentify, you will need to create an account.

Visit the absentify website and click on the "Sign up" button.

To register on absentify, you can either create a new company profile or join an existing one.

You can create a new company by clicking on the "Create new company" button on the sign-up page.

When creating a new company, you will have to specify the following:

Company name: The name of your company.
Country: The country where your company is located.
Time zone: The time zone of your company.
Default date format: The default date format that will be used in absentify. Every user can change this for themselves in the settings.

There are two possible ways to sign in to absentify whether it be on the web or on the Microsoft Teams app, we make it easy for you to get started!

On the web:

If you want to access absentify from your search engine, you can do so on our homepage at https://absentify.com/de by clicking "Sign in".

On the Teams app:

if you want to access absentify on the Microsoft Teams app, you can do so by installing the absentify app in your Microsoft Teams account. Simply go to Microsoft Teams --> Apps --> search for "absentify" --> click on "Add". It will automatically be installed so you can easily access absentify from Microsoft Teams.

You will need to be invited by your company's administrator before you can join.

Once you have been invited, you can join your company's absentify by clicking on "Join an existing company".

Adding users can be done individually. Admin users are the only ones who can increase their team or have the option to add users.

Adding users is done from the Users menu.

Settings > Users > "Invite a new user."

The "Invite a new user" form will be displayed. Now you just need to enter all the required data of the user and click save.

The department will be assigned as he is assigned in the company structure.

You must also add a holiday calendar to each user, e.g. he works for your company in another country, then you can enter him the calendar of the country where he works.

Employment start date, with this field you can specify when your new user has his first working day.

Annual quota (current year) is automatically calculated with the annual quota stored in the department and the employment start date. It is a suggestion from absentify and can be changed as desired. For the following years the contingent is taken from the department.

Approval of Leave Requests

In absentify, all leave requests must be approved by a designated approver. The leave requests are approved by the department head by default. However, this can be overridden for each individual employee.

To do this, go to "Settings" > "User" > "Profile" > "Approver". Here, you can select the approver for each employee. Only the assigned approver will receive the email notification of the leave, which they must then approve or deny.

This function is designed for managers who have the right to approve leave requests, but their own leave requests must be approved by higher-ranking managers. This ensures that all leave requests are properly approved. Depending on whether you have set the permission feature, whether other departments can be seen or not, the selection is limited here. If no one has to approve the vacation, you can enter yourself as the approver, or set in the Leave Type that the vacation generally does not have to be approved.

Special Permissions for Admin Users

Admin users have the ability to approve leave requests even if they are not the designated approver. To do this, click on the bell icon in the upper right corner to see all pending leave requests. All leave requests are organized by an approver.

Create Out of Office Replies

Have you ever forgotten to set your out-of-office message in Outlook, and then had people emailing you while you were away? Well, fear no more! With absentify, you can enable automatic out-of-office replies in Outlook, so that people will know you're away even if you forget to set the message yourself. You will only see the navigation entry for the " Enable out of office message for this type" option if the Outlook out of the office reply feature is enabled. If this feature is not enabled, please contact the administrator to enable it.

Here's how it works:

On the day you're absent, absentify will automatically set your out-of-office message in Outlook, based on your working hours. All future absences will be automatically set as well. You don't need to create a new request each time. When you're back from your vacation, the message will be turned off again.

You can also customize your out-of-office message for each leave type individually with placeholders so that it will look just the way you want it.

Configure your template:

To customize your template, navigate to the " Your Preferences" > "Automatic replies" page. You will only see this page if the Outlook out of the office feature is enabled.
