Create an Account

In order to use absentify, you will need to create an account.

Visit the absentify website and click on the "Sign up" button.

To register on absentify, you can either create a new company profile or join an existing one.

Register a new company

You can create a new company by clicking on the "Create new company" button on the sign-up page.

When creating a new company, you will have to specify the following:

Company name: The name of your company.
Country: The country where your company is located.
Time zone: The time zone of your company.
Default date format: The default date format that will be used in absentify. Every user can change this for themselves in the settings.
Default week start: The day on which your company's week starts.
Default time format: The default time format that will be used in absentify.

This quick start guide for employees will walk you through the initial setup process so you can get started. By the end of this guide, you'll have a good understanding of how absentify works and how to use it to track your time off.

There are two possible ways to sign in to absentify, and whether it be on the web or on the Microsoft Teams app, we make it easy for you to get started!

On the web:

If you want to access absentify from your search engine, you can do so from our homepage at https://absentify.com/de by clicking "Sign in".

On the Teams app:

if you want to access absentify on the Microsoft Teams app, you can do so by installing the absentify app in your Microsoft Teams account. Simply go to "Microsoft Teams" > "Apps" > search for "absentify" > click on "Add". It will automatically be installed so you can easily access absentify from Microsoft Teams.

You will need to be invited by your company's administrator before you can join.

Once you have been invited, you can join your company's absentify by clicking on "Join an existing company".

Add user

Adding users can be done individually. Admin users are the only ones who can increase their team or have the option to add users.

Add individually

Adding users is done from the Users menu.

Settings > Users > "Invite a new user."

The "Invite a new user" form will be displayed. Now you just need to enter all the required data of the user and click save.

The department will be assigned as he is assigned in the company structure.

You must also add a holiday calendar to each user, e.g. he works for your company in another country, then you can enter him the calendar of the country where he works.

Employment start date, with this field you can specify when your new user has his first working day.

Annual quota (current year) is automatically calculated with the annual quota stored in the department and the employment start date. It is a suggestion from absentify and can be changed as desired. For the following years the contingent is taken from the department.

Shortly after, an invitation will be sent to the registered email. Importantly, it must be the email from the user's Microsoft account.

Selecting a user's approver

In absentify, all leave requests must be approved by a designated approver. A user's leave requests are approved by their department head by default, however, this can be overridden for each individual employee. Keep reading to learn how to use both the default and customize option to set the approver.

Using the default option

The default approver for each user will be their department manager. To learn how to change department managers visit our support guide on managing departments here.

To view a user's default approver, go to "Settings" > "User", select a user and access their profile by clicking the pencil icon for "Edit".

In the pop-up window, select "Approver" from the side rail. Here, you can select the department manager for that user by selecting the corresponding department.

In the example below, Miriam is the designated approver since she's the head of the marketing department. Only the assigned approver will receive a notification of the leave request, which they can then approve or deny.

Don't forget to click "Save" to save your changes!

Vacation carry-over

If your company offers an annual carry-over, you can easily set this up in absentify under your account settings. This will allow users to carry over some or all of their unused vacation days into the next year.

To do this, login to your account and go to the "Settings" page. Under the "Carry-over" section, set the number of days you would like to be brought forward into the following year.

In the above photo, if a user has 10 vacation days left at the end of the year and their company allows a maximum of 5 days to be carried forward, then 5 of those days will be carried over into the next year.

View carry-over in your calendar

Users can see how many days have been carried over by going to the "My calendar" page and referring to the "Carried over" section in the left-hand column.

View employee carry-over

Admins can see the total number of days brought forward for each user by going to "Settings" > "Users" and clicking on the pencil symbol for "Edit". An editing window will appear. From there click "Allowance" and refer to the "Carried-over" column.
