1. Changing the number of users in the middle of a billing cycle
You’re not locked into a fixed number of users for the whole year. We update the number of users in your subscription nightly. If someone leaves, you’re only billed for what you use; any surplus will be credited to your next billing cycle. If you add users, a prorated charge is added based on your original payment method. You can view all invoices and billing details directly in the absentify portal.
2. Removing a user mid-year:
You’re free to adjust as your team changes throughout the year. If you choose a yearly plan and remove a user 6 months into the subscription, you will receive a credit note for the remaining 6 months. The calculation is done on a daily basis. This credit can be used for future transactions, such as adding new users.
3. Adding a user mid-year
If you add a user after 6 months, you will be invoiced for the remaining 6 months. The calculation is again done on a daily basis.
4. Canceling the yearly plan after 6 months:
If you cancel the yearly plan subscription after 6 months, no refund will be provided for the remaining time. The cancellation will take effect at the end of the current month, and no further billing will occur.
5. Archiving a user:
After archiving a user, they will still be calculated towards the total number of users in your licence for that time frame. If you do not wish to see the user in your invoice, you need to delete them from your workspace. We recommend first downloading their leave data using absentify's Excel export feature before deleting them from the app since this action cannot be undone.

Additional notes:
- Refunds in the form of cash are not automatically processed.
- The credit received from removing users can be used for future billing adjustments, such as adding new users.
- If a customer requests a cash refund, it may be processed manually, but it is not the default procedure.

Q: When can I cancel my subscription?
A: For monthly subscriptions, cancel anytime before the next scheduled payment. For yearly subscriptions, cancel within the year before the next payment. You can cancel or upgrade your subscription directly in the app up to one day before the next billing date.
Q: What payment options are available?
A: You can choose to pay for the license either monthly or annually.
Q: When is the payment due?
A: The license fee is payable in advance.
Q: What is the time frame of the billing cycle?
A: The billing cycle starts on the day you purchase the license and runs for either a month or a year, depending on your chosen payment option.
Q: What is the cancellation policy?
A: You can cancel your license anytime up to one day before the next billing date directly in the app. This also applies to upgrades.
Q: Is there a commitment for an extended license?
A: There is no binding commitment for an extended license. You can add or remove users at any time, with billing adjusted daily.
Q: What happens when added users are removed?
A: This will automatically be calculated within your subscription price and adjusted in the next billing cycle. If you reduce the number of users, a credit will be issued.
Q: What payment options are available?
A: You can choose between monthly and yearly payments.

Subscription and Cancellation Process
