Benefits



By upgrading your plan, you will not only see your own synchronized absences, but also that of your co-workers.

Clear Overview: Users gain a clear overview of all connected calendars, helping them make informed decisions when scheduling internal meetings or events.

Flexible Configuration: absentify's group calendar Sync feature offers flexibility in configuring the synchronization process. Users can choose between syncing absences directly to Outlook or receiving them as invites via email.


Group calendar Sync



Start by heading over to Settings > Integrations > Calendar Sync.



Select Configuration followed by Add a new calendar synchronization to start setting up your synced calendar





Decide on what you'd like to name the calendar, add a description and click Next.



From here, you'll have the option to decide on the following:

Outlook Shared Calendar: Selecting this option will automatically sync absences from absentify to Outlook. This is great if you don't want the hassle of having to manually add them via email.

iCal: Selecting this option allows you to proof all absences sent to you via email before deciding if you want to add them to your calendar.

Psst: The details of your synced calendar can always be edited, except for the type of calendar you select. Make sure you've selected the correct one before going forward!


Outlook Shared Calendar:





On the following page, you'll be prompted to select which departments' absences you want to appear on your Outlook Calendar.



You can select up to as many departments as you've created in absentify. If you want to delete one, simply click the X next to the department.



After clicking Next, you'll be brought to the last page where you can select exactly which absences you want to appear in your synced calendar. Activating the toggle means the absence will appear in your Outlook calendar, otherwise you will only be able to see that leave type in absentify.



Here you'll also have the option to select Approved Only if you only want leave that's already been approved to show up in the shared calendar.



After clicking Save, head over to your Outlook calendar. Now you can see all the absences you've activated from the users in the selected department!




iCal:



If you've decided to select the "iCal" option, you'll see all the absences from the selected departments as an invite via email before having the option to add them to your synced calendar.

After saving the configurations of you synced calendar, create an absence in absentify.

Please not that iCal synchronization only works with upcoming absences, if an absence if created in the past, you will not receive an invite.

Head over to your inbox. Select the invite and click Yes to add it to your calendar.



You'll now see the added absence appear in your Outlook calendar.
